Rathbones Folio Foundation Privacy Statement

We, the Rathbones Folio Foundation (formerly the Literature Prize Foundation; the operating name of the charity that administers the Rathbones Folio Prize, Mentorships, Sessions, and related events and initiatives) are committed to maintaining the trust, confidence, and privacy of visitors to our website and to the security of the data we collect. Under the Data Protection Act and new General Data Protection Regulation, we have a legal duty to protect any personal information we collect from you.

The Rathbones Folio Foundation will take reasonable technical and organisational precautions to prevent the loss, misuse or alteration of your personal information, which includes following procedures that aim to ensure all staff members and trusted volunteers who have access to any personal data (including paper-based and computer records) held by or on behalf of Rathbones Folio Foundation are fully aware of and abide by their duties and responsibilities under the Act and GDPR.

Rathbones Folio Foundation collects and uses personal data about donors, participants, partners and supporters. The Rathbones Folio Foundation collects personal data – which may include your name, email address, postal address and date of birth – when you actively register, online or in print, to receive our e-newsletters, when you communicate via email or in writing with an employee of the charity for reasons pertaining to the work of the charity, or when you make a donation to the charity. The Rathbones Folio Foundation may process your personal data by storing it online and/or in print, and storing IP addresses on our web server logs. In practice, you will usually either expressly agree in advance to our use of your personal data for marketing purposes (‘marketing’, in this instance, means our communication with you regarding the charity’s news, events, initiatives, and updates), or we will provide you with clear opportunities to opt-out of the use of your personal data for marketing purposes.

Sharing Your Information

The Rathbones Folio Foundation will not and does not share, sell, rent or trade your information to any third parties unless you have given us explicit permission to do so.

Financial information

In order to process financial transactions made directly to Rathbones Folio Foundation through our donation forms, we will ask you for your bank or credit card details. When you are using our secure online donation page, you are going through to a partner company, currently limited to PayPal, and the information you give such as your credit card number and contact information is provided to them so that the transaction can take place. In these instances, we do not receive or retain your Credit or Debit Card details.

Changes & Access to your details

If you no longer wish for the Rathbones Folio Foundation to keep or use your personal information, or if you would like to update your personal information, including if and in what format you would like to be sent communications pertaining to Rathbones Folio Foundation events, initiatives, news, and other marketing content, you can contact us at any time by clicking on ‘Contact’ on the navigation bar at the header of our website. Additionally, if you no longer wish to receive emails from the Rathbones Folio Foundation via Mailchimp, you can click ‘Unsubscribe’ in the footer of any email we send through Mailchimp; doing so will remove your email and name from the mail out list.

You have the right to ask us for a copy of the information we hold about you or ask us to change it if you think it is wrong. Please contact us for more information if this is the case.

Policy Amendments

We may update this privacy policy occasionally, by posting a new version on our website. You should check this page from time-to-time to ensure that you are happy with any changes. We may also notify you of changes to our privacy policy by email.
